There is so much to do when you are an owner of a small business. You are most likely going to have an outsourced company do your payroll for you. This is a great choice. While we support this decision, we also know that some payroll providers have hidden fees. You should watch out for these fees before choosing the payroll provider you want to use. In this article, we are going to point out what common hidden fees.

Some hidden fees to watch out for:

Paying to get started is probably one of the biggest hidden fees. As you are setting up payroll for the first time, you may start to feel the weight be lifted from your shoulders. However, that feeling often comes with a fee. Most payroll services charge a set-up fee. This is for the work of inputting all of your information and data. While this might be a one-time fee, it is a fee that you might not have been expecting. 
 
Before you join a new payroll service, you will get a quote. When companies give you a quote, they will try to make the price as small as possible. They want to look cheap so you’ll choose them as your provider. If the payroll company charges for 1099s and W2s then one of the things to look for in the quote is how many 1099s and W2s they quoted you.
 
Example: If you are paying 10 truck drivers at your company, payroll providers will estimate a quote based on 10 employees. Even though you probably have more than 10 employees. This will make their company’s payroll plans look cheaper. They are not accounting for any turnover. When was the last time you had 0 turnover in a year?

Other hidden fees would be the additional features that you would expect a payroll service to do such as:

Full-service tax filing features. This include processing your state, federal, payroll tax deposits, monthly/quarterly tax filings, or annual tax filings and W-2s

Other charges based on how you chose to pay your employees (extra fees for direct deposit or checks)

If the payroll provider uses payroll software, you could be charged customer support or maintenance fees

Processing garnishments or adding on new ones such as child support/credit card debt/unpaid taxes/student loans

Adding more employees if your company is growing

A need to re-run direct deposit, garnishments, or W-2s because they needed corrections

Additional payroll runs if you forget to pay an employee
