How to Switch Payroll Providers

Ugh another payroll error?! Are you frustrated with your payroll provider? Some payroll providers aren’t compatible with your kind of company. Maybe they don’t have the best customer service, or maybe they are making mistake after mistake. Well, good thing there is a fix for that. You can transition to a different payroll provider at any time. It may sound intimidating but it is pretty quick and simple to change payroll providers if you follow the steps below.

Step 1: Explore your options

Before you leave your current payroll provider, do your research and find a payroll company that will fit your needs. This might take time but switching to a new payroll provider is something that you need to be really careful about. Compile all of the features you need for your payroll such as different types of payment methods, W2s or 1099’s or both, pay per mile or/and percentage, tax filing, etc. Then look at the payroll provider’s website and consider all the different features of the payroll plans and services that are available to see if the provider includes all of the features you need.

If you find multiple payroll providers that have the features that you need, compare other things such as the cost, their customer service, and check out the reviews. You could check out the article that we already did that compares some of the best payroll companies such as ADP, OnPay, Gusto, etc. so you don’t have to do as much research. This will help you narrow down your decision quickly.

Step 2: Request a quote

Fill out some simple information through their website or even get in contact with a live person over the phone to have a detailed conversation about what the payroll provider will offer. This will break it down to give you a better and more clear understanding of what you will be getting and how much it will cost specifically for your company.

Step 3: Talk to your current payroll provider

Tell your current payroll provider that you will be switching to a different payroll provider. Find out the details of how to terminate your service, but don’t cancel it yet. There might be a certain amount of time you need to notify them when you are switching, paperwork to fill out, or even a fee to pay.

Step 4: Review the contract

Review the services, contract, and information that you will need to fill out one more time just in case you have any questions or if something doesn’t match up with what you want. If you’re still on the fence, asking more specific questions will be the right way to go.

Step 5: Fill out paperwork and say goodbye to your old provider
